What to Expect:
How Fractional COO Engagement Works
CascadEffects partners with orthodontic and dental practices as an embedded fractional COO, installing the systems, scorecards, and team capacity that owner doctors rarely have time to build themselves. Every engagement follows the same four step cascade, designed to move a practice from diagnosis to durable change in roughly six months.
Discovery Call
30 minute conversation between the practice owner and Casey Bull, founder of CascadEffects. We walk through current pain points, growth targets, team structure, and the question every owner is really asking: where are my practice operations leaking time, money, or trust? The call is complimentary and ends with a clear read on whether a fractional COO engagement is the right next step, or whether a different solution would better serve you.
Performance Analysis
Over the first two weeks of the engagement we run a structured immersion across your practice. That includes a full systems audit, KPI baselines, team interviews, custom patient journey mapping, treatment coordinator workflow review, and a financial scorecard read that most owners are not looking at often enough. You then receive a written diagnostic naming the three to five highest leverage problems and the order in which we will solve them.
Deep Work
The heart of the engagement: roughly four months of building, installing, and stabilizing. We rewrite SOPs, rebuild the org chart, install the operational dashboards, run hiring rounds, restructure the treatment coordinator handoff, fix the recall column, or whatever the diagnostic surfaced. Casey is in your practice weekly. Heather Broughton, our director of operations and senior facilitator, runs the recurring leadership and TC syncs. Every meeting ends with a written recap and a tracked action list owned by name.
Ongoing Coaching
At the six month mark the heavy install is complete and we shift into a lighter touch coaching cadence. Most practices stay on a monthly or biweekly rhythm to protect the gains, work the next layer of improvements, and keep the leadership team accountable. Some graduate fully. Either way, you leave with a practice built to run, grow, and last without you holding it together.
